Getting Started with Huly

How to log in, navigate, and work as a recruiter in the agenticX environment

1. Logging In

Open Huly

Go to https://huly.app/workbench/agilex — this is our hosted Huly workspace.

Sign in

Click "Sign in with Google" and use your @agilex.co.za Google Workspace account. If you're already signed into Google, it's one click.

If you received an invite link from your admin, click that instead — it will set up your account automatically.

Select workspace

Choose AgileX Recruitment from the workspace list. You'll land on the home screen.

First time? If you received an invite link, click it first — it will create your account and add you to the workspace in one step. The workspace URL is https://huly.app/workbench/agilex.

2. Navigating Huly

Huly's left sidebar is your main navigation. The three modules you'll use daily:

Contacts

Keyboard shortcuts: Cmd+K opens quick search — type a candidate name, vacancy, or anything to jump straight there.

3. Your Daily Workflow

3.1 Adding a New Candidate

When you receive a CV (via email, LinkedIn, or referral):

Save the CV to Google Drive

Upload to Drive → AgileX Recruitment → Candidates → Active → {Candidate Name}/
Name the folder: FirstName LastName. Save the CV as CV.pdf.

Create the Talent in Huly

Go to Recruit → Candidates → + New Candidate

Fill in:

Add channels (contact details)

On the candidate's profile page, click + Channel for each:

Link to a vacancy

On the candidate profile, click + Application → select the vacancy → set stage to Backlog.

The candidate now appears on that vacancy's Kanban board.

AI agent shortcut: If Ava (Acquire agent) is active, she can do steps 2-4 automatically from a CV. You'll see the candidate appear in Huly with channels and Drive links already attached.

3.2 Moving Candidates Through the Pipeline

Open the vacancy

Go to Recruit → Vacancies → click the vacancy name. Switch to Board view (Kanban icon at top).

Drag the candidate card

Drag from one column to the next. For example: Backlog → HR Interview.

The stages are:

Add a comment

Click the candidate card → scroll to the activity section → add a comment explaining why you moved them. This is your audit trail.

Always add a comment when moving stages. This is your audit trail for the client, and it's what AI agents use to understand the context when they assist.

3.3 Creating a New Vacancy

Get the brief into Google Drive

Create a Google Doc at Drive → Clients → {Client Name} → Vacancy_Briefs/ with the job spec details.

Create the vacancy in Huly

Go to Recruit → Vacancies → + New Vacancy

NameJob title (e.g. "Senior AI/ML Engineer")
DescriptionShort summary. Include: type (Permanent/Contract), salary range, location.

In the description, paste the Google Drive link to the full brief:

The pipeline is auto-created

Huly creates the 7-stage pipeline automatically (Backlog → Won/Lost). You can start adding candidates immediately.

4. Where Things Live

Two systems, clear responsibilities:

Huly ATS (Pipeline & Tracking)

Think of Huly as the tracking board — it knows where everyone is in the process.

Google Workspace (Documents & Comms)

Think of Google Workspace as the filing cabinet — it holds all the actual documents.

The golden rule: Documents live in Google Drive. Huly holds links to those documents (via Homepage channels), not copies. One source of truth.

5. Working with AI Agents

The A.G.I.L.E. agents assist you at specific steps. They never act without your knowledge — everything they do is logged in Huly's activity timeline.

Agents draft, you decide. No email is sent to a candidate without your approval. No pipeline stage changes without your knowledge. The agents are your assistants, not your replacements.

7. Tips & Best Practices

Always link Drive documents

When you upload a CV or document to Drive, paste the sharing link into Huly as a Homepage channel. This keeps everything connected.

Comment when moving stages

A one-line note ("Phone screen done, strong fit, salary aligned") gives your team context and helps AI agents understand the situation.

Search before creating

Before adding a new candidate, search by email or name in Huly (Cmd+K). Avoid duplicates — they make tracking unreliable.

Use the Board view for stand-ups

During team pipeline reviews, open the vacancy Board view. Drag candidates live as you discuss progress. Everyone sees the same board.

Review agent drafts before sending

Elle drafts emails, but you send them. Always read the draft — the agent doesn't know your relationship with the candidate.

Keep candidate folders tidy

In Drive: one folder per candidate, named consistently (FirstName LastName). CV, references, and notes all go in that folder.
